Privacy Policy

We protect your privacy at Klosteret. Learn how we collect, use and safeguard your data under GDPR and Danish law.

1. Who We Are

Our website address is: https://klosteretcopenhagen.dk

This site is operated by Klosteret – The Luxurious Townhouse of Copenhagen, owned by Oskar Herrik Nielsen, based in Copenhagen, Denmark.

If you have questions about this policy or how we handle your data, you may contact us directly via the contact form on our website or by replying to your booking messages.

2. What Personal Data We Collect and Why

Comments

When visitors leave comments on our website, we collect the data shown in the comments form, along with the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string (hash) created from your email address may be submitted to the Gravatar service to check if you use it. The Gravatar privacy policy is available at: https://automattic.com/privacy/.

After your comment is approved, your profile picture is visible to the public alongside your comment.

Media Uploads

If you upload images to the site, we recommend removing embedded location data (EXIF GPS) as visitors may download and extract location data from images on the site.

Cookies

  • If you leave a comment, you may opt in to saving your name, email, and website in cookies for convenience. These cookies last for one year.
  • If you visit our login page, a temporary cookie is set to check browser compatibility. It contains no personal data and is deleted when you close your browser.
  • When you log in, we set cookies to save login and screen preferences:
    • Login cookies last 2 days (or 2 weeks if “Remember Me” is checked)
    • Screen options cookies last for 1 year
  • If you log out, login cookies are deleted.
  • If you edit or publish a post, a cookie is stored with the post ID (no personal data), and expires after 1 day.

Embedded Content

Articles and pages on this website may include embedded content (e.g., YouTube videos, Instagram images, etc.). Such content behaves exactly as if you visited the third-party website directly.

These external websites may collect data about you, use cookies, embed third-party tracking, and monitor your interaction with that content — especially if you are logged in to those platforms.

3. Booking-Related Data

If you book a stay, event, or service with Klosteret (either via this website, Airbnb, or another platform), we may collect and store:

  • Full name
  • Email address
  • Phone number
  • Billing address
  • Payment status (not full payment details)
  • Dates and details of your stay
  • Any special requests or communication

We use this data solely to fulfil your booking, deliver services, and communicate with you regarding your reservation. Some data (e.g., booking history, invoice information) may be stored for accounting and legal purposes as required by Danish law.

4. Who We Share Your Data With

We do not sell or trade your personal information.

We only share your data with trusted service providers and platforms to deliver the services you have requested — such as chefs, drivers, wellness providers, or third-party booking channels (Airbnb, Stripe, etc.). These parties are contractually required to protect your data and only use it for the agreed purpose.

If you request a password reset, your IP address will be included in the reset email.

Comments may be checked via an automated spam detection service.

5. How Long We Retain Your Data

If you leave a comment, the comment and its metadata are stored indefinitely to allow automatic approval of follow-up comments.

For users who register on our website (if any), we also store the personal information they provide in their user profile. Users can see, edit, or delete their information at any time (except their username). Website administrators can view and edit this data as needed.

Data from bookings, correspondence, invoices and support inquiries may be retained as required by Danish accounting and tax law (typically 5 years).

6. Your Rights Over Your Data

Under the GDPR, you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (“right to be forgotten”)
  • Object to or restrict certain data processing
  • Receive a copy of your data in a portable format (data portability)
  • Withdraw consent where applicable

To exercise any of these rights, please contact us via the contact form on our website or by replying to your booking message. We will respond within 30 days.

Please note: We may be required to retain some data for legal or administrative purposes (e.g. invoices, contracts, damage claims).

7. Where Your Data Is Sent

Visitor comments may be checked through an automated spam detection service.

If you book or pay via third-party platforms (Airbnb, Stripe, etc.), your data will also be processed by those services in accordance with their own privacy policies.

Some data may be stored on secure servers located within the EU or trusted international data centres compliant with GDPR (e.g. Google Workspace, Microsoft, Stripe).

8. How We Protect Your Data

We take your data protection seriously and apply technical, physical and organisational security measures to prevent loss, misuse, or unauthorized access.

This includes encrypted communication (HTTPS), secure data storage, user access control, and regular software updates.
